A WhatsApp funnel that stops depending on who is watching the inbox

Velizaa's customers were already choosing WhatsApp. The constraint was on the other side of the conversation: replies happened when a person was free to type them, and routing depended on someone reading the thread and deciding.

Context

WhatsApp had become a primary channel for Velizaa, carrying both sales and support conversations in the same inbox. Manual triage worked until volume made it the bottleneck.

The bottleneck
  • Response time tracked staff availability. Every reply waited for a person. During busy periods, and outside working hours, conversations that started with real intent went quiet before anyone could act on them.
  • Sales and support shared one queue. Both conversation types arrived in the same place and had to be separated by hand. A buying question and a delivery question look similar in the first message and need very different handling.
  • Follow-up depended on memory. There was no mechanism tying a follow-up to where a conversation had reached. Threads that stalled at a specific stage were noticed only if someone scrolled back and spotted them.
  • Handoffs were inconsistent. Moving a conversation to the right person meant explaining it again, and there was no reliable record of what had already been asked.
What we built
  • Immediate first response. Automation opens the conversation the moment a customer writes in, so nobody waits for a human to be free. The opening exchange gathers what is needed to route correctly.
  • Decision-tree flows. Structured conversation paths carry a customer through the questions that matter for their situation, branching on their answers rather than following one fixed script.
  • Intent routing. Sales and support threads are separated automatically at the point of intent, so each goes to the right queue and gets handled by the right person under the right expectations.
  • CRM sync. Conversation data writes back to the CRM as it happens, so the record reflects the thread without anyone transcribing it.
  • Stage-specific follow-up triggers. Follow-ups fire based on where a conversation has actually reached, rather than on a fixed timer or on somebody noticing. A thread that stalls at a particular stage gets the nudge that stage warrants.
What it runs on

WhatsApp Business API via Meta, decision-tree conversation flows, intent classification and routing, CRM synchronisation, and stage-triggered follow-up sequences.

Why it holds up

Messaging rewards speed more than almost any other channel, because a customer writing on WhatsApp expects the rhythm of a chat rather than the rhythm of email. Removing the wait for a human to be free changed the shape of the whole funnel, and routing by intent meant the speed did not come at the cost of sending people to the wrong place.
