Voice coverage that no longer depends on who is at the desk

Shreepad Group's inbound line was doing real commercial work and was limited by something mundane: whether a person was free to pick it up. We built a voice layer that answers first, qualifies consistently, and hands the owner a conversation worth having.

Context

Shreepad Group handles inbound enquiries where the first conversation decides whether an opportunity progresses. Volume was not the problem. Coverage and consistency were.

The bottleneck
  • Coverage tracked staffing, not demand. Calls arriving outside staffed hours, or during a busy stretch, waited for someone to become free. Enquiries do not wait, and the ones that mattered most were as likely to arrive at an awkward hour as a convenient one.
  • Qualification varied by who answered. Different people asked different questions in a different order. Two enquiries of identical quality could reach the team looking very different, which made prioritising them guesswork.
  • Context was lost in the handoff. By the time an enquiry reached the person who could act on it, the detail captured during the first conversation had often thinned out to a name and a number.
What we built
  • A voice agent that answers first. The agent picks up inbound calls immediately rather than queuing them, opens with a natural greeting, and establishes what the caller actually wants before anything else happens.
  • Structured intent capture. Rather than a menu tree, the agent works out intent conversationally and records it as structured data. Callers describe their situation in their own words and the classification happens behind the scenes.
  • Consistent qualification scoring. Every caller is asked the same qualifying questions in the same order, and the responses are scored against criteria agreed with the team. The scoring is the same at 2am as it is at 2pm.
  • Route-to-owner escalation. Qualified conversations are routed to the right person with the intent, the qualification answers, and the transcript already attached, so the human conversation starts from context rather than from scratch.
  • Write-back and follow-up. Call summaries and structured fields are logged automatically, so nothing depends on someone remembering to write it up afterwards.

Why it holds up

The change here was not that calls got faster. It was that the quality of the first conversation stopped depending on who happened to be free. A consistently qualified enquiry with context attached is a materially different thing to hand a salesperson than a name on a callback list.
